General Statement Of Duties

Summary of Job Classification:
Performs professional, technical, and analytical administrative coordination and project management work. Responsibilities will vary based on the needs of the unit but may manage projects related to space planning and facilities management, telecommunications and AV/IT implementation, statistical analysis and planning, operational and organizational assessments, contract administration and oversight, auditing and compliance reviews, and similar work under the direction of an Executive.

May also participate in general administrative functions of the unit such as finance, accounting, human resources, etc. May supervise 1-2 professional or support staff, however, supervisory responsibilities are not a primary function of the classification.

Essential Functions Of the Position

To perform this job successfully, an individual must be able to perform assigned essential functions listed below satisfactorily. Provides technical, administrative, and project management support to judicial district administration.

Participates and contributes to strategic planning for future court services and programs. Assists with managing large improvement projects, including reviewing and selecting vendors, assigning tasks, scheduling and monitoring work, progress, and workflow, assessing the product, and establishing standards.

Researches, analyzes, and recommends changes to the Administrative Authority. Compiles and analyzes data for planning purposes.

Monitors accounting and purchasing functions in accordance with the department fiscal rules. Reconciles daily and monthly accounts, aides with case financials and balancing, manages operating budget, orders office supplies, and processes invoices.

Coordinates travel arrangements in compliance with state and federal purchasing regulations, fiscal rules, and Chief Justice Directives.

Assists with Human Resource functions, including benefits, Family Medical Leave, workers compensation, recruitment, time reporting, and personnel rules and policies. Helps address and resolve concerns from the public and employees.

Liaises with other agencies regarding building and maintenance issues, parking, and employee facility access and identification. Coordinates with Courthouse Security about safety concerns, high-profile cases, surveillance, and emergency response protocols and planning.

Manages vendor contracts. Renews contracts and assists with state and federal audits. Provides applicable documentation and response to questions regarding policies and procedures.

Attend meetings and trainings as required.

Performs other duties as assigned.

Supervisor Responsibilities

Work requires providing guidance and the potential to oversee another employee. This position may oversee work quality, training, instructing and work assignments. The work performed by majority of employees is semi complex.

Minimum Education

Education and Experience Equivalency:
High School diploma or G.E.D.

OR

Additional work experience in these or other related fields may be substituted on a year for year basis for the required formal education.

Work Related Experience: 
5 to 7 years of experience in an administrative field.

Physical Demands

Physical Effort Requirements:
Sedentary Work- Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally.
