General Statement Of Duties

Serves as a Human Resources assistant, SCAO front desk receptionist and provides general clerical support for various departments within the State Court Administrator’s office.

Distinguishing Factors

Positions in this classification are distinguished from other clerical classifications by the primary responsibility for human resources administrative functions as well as the operation of the reception area for the State Court Administrator’s Office.

Essential Functions Of the Position

Provides telephone and visitor receptionist duties including greeting customers, answering questions, and providing necessary information.

Accepts, sorts, and distributes incoming mail and packages.  Processes outgoing documents for transmission/shipment in coordination with service providers and customers, including payroll mailings, employee service certificates, orders for sealed records, and other mail or packages created by the State Court Administrator’s Office personnel

Schedules meeting and conference rooms for the State Court Administrator’s Office personnel.

Verifies sealing of records for Colorado Judicial Department.

Provides clerical support for the recruitment and training departments to include making copies, ordering food, scheduling interviews, basic follow up with applicants, testing, room scheduling and ordering supplies.

Maintains employee information in systems including RTD Eco Pass, emergency notification system, etc.

Maintains a manual for reception coverage staff including step-by-step instructions and current directory of extensions.

Conducts criminal history checks on applicants and vendors when needed.

Responds to employment verification requests from outside businesses.

Conducts new hire orientation/onboarding duties including employee tours, introductions, presentations, and handling new hire paperwork.

Performs preventive maintenance on office equipment and coordinates arrangements for necessary servicing of equipment including copiers, fax machines, phone system and related equipment.  Also coordinates arrangements for repairing building maintenance issues.

Coordinates human resources employee travel arrangements.

Performs general clerical support for other departments and projects as needed.

Attends meetings and training as required. May also serve as the note taker for meetings.

Performs other duties as assigned.

Supervisor Responsibilities

No formal responsibility.  Responsible for one’s own work product and work within a unit performing similar functions.

Minimum Education

Graduation from high school or equivalent and two years of general clerical experience.  Typing skills and familiarity with word processing applications preferred.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear.  The employee frequently is required to sit and reach with hands and arms and perform repetitive motions with wrists, hands, and fingers.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.

Work Environment

Occasionally handles emergency or crisis situations; frequently subject to many interruptions, and may be required to handle multiple calls and inquiries at once.  The noise level in the work environment is usually moderate.
